A Sustainability Analyst: Mapping to Reporting Data

As a sustainability analyst for two years at my current company – Atlas Pearls (PT. Cendana Indopearls), I have responsibility to mapping, collecting, analysing, and reporting data for sustainability reporting content – each semester with financial year started Juli – June.  Since this is first ever a role and project at Atlas Pearls, I did well this responsibility.

Collecting to reporting we use GRI (Global Reporting Initiative) as a guideline. Every single GRI has difference data and method that are needed. At Atlas Pearls, we collect data for environment section – GRI 301 Materials, GRI 302 Energy, GRI 304 Biodiversity, GRI 305 Emission, and GRI 306 Waste. Meanwhile, for society such as GRI 401 Employment, GRI 402 Labor Management Relation, GRI 403 OHS, GRI 404 Training and Education, and GRI 413 Local Community.

1.      GRI 301 Materials

All input materials that are used to support south sea pearl farming – longline system materials, nucleus, and technician tools. These materials are collected from finance during the FY based on purchasing. Why purchasing? because we can use all purchasing documents as evidence as approval during audit. Once I collect data, I sort all data to get info quantity per item and type of materials – renewable or not.

For the FY 2026, we will also collect retail packaging jewellery data also because now we have massive selling and we should concern about all packaging materials to our customers.

2.      GRI 302 Energy and GRI 305 Emission

I collect fuel and electricity data as energy sources. At Atlas Pearls, some several fuels (scope 1) are collected – kerosene, lubricant, LPG, gasoline, and diesel at the end of the FY alongside with electricity (scope 2) based on purchasing data from finance.

Once I receive data, by using formula that I have created on ms excel – VBA based on protocol calculation (IPPC and GHG protocol), I calculate quickly the liter and kwh to get amount of energy and emission for every location, type, etc. depending information that we need.  As a note, for fuel data collecting, we categorize based on fuel consumption for generator, water born activities, land operational, and agriculture/aquaculture other purpose to suitable with value of emission factor based on the guidelines. The result will be shown as charts on Power BI.

3.      GRI 304 Biodiversity

In term data collecting, we rely on third party since we don’t have an expert to collect this data. Usually I collect data from UKL/UPL/AMDAL because from this environment impact reporting have species table each location. After that, just find categorization of the species on IUCN Red List – critically endangered, endangered, least concern, etc. I collect this data annually at the end of FY.

After we get the list, we will make poster for local staff to read how to protect this animal during working.

4.      GRI 306 Waste

We ask to CSR reps to collect kg waste data at location based on SOP (waste management) that we made – reused/repurpose, recycling (selling to third party), landfill, incinerated, etc. for per item of rubbish. I collect this data monthly as CSR rep monthly reporting. So, I can update this data every site and create waste management flow, display on Power BI, and more.

5.      Society – GRI 401 to 404

I collect this data annually from HR and HSE department. Giving them draft table to input data that I need and will be using excel formula to calculate quickly.

6.      GRI 314 Local Community

I collect qualitative and quantitative data from CSR projects. Qualitative data is based on CSR coordinator reporting or CSR reps and the number of money and donated materials each project are collected based on IR at our system, COOS. I will collect this data monthly. Needed to make pager or news latter or even reporting to government.
